How can I manage my events on ITILITE?

The ITILITE Events feature helps you seamlessly manage company events, from team offsites to client visits. This guide will walk you through creating, viewing, and managing events, including inviting participants, tracking RSVPs, and accessing event-specific reports.

Step-by-Step Guide

Follow these steps to manage your events on ITILITE:


1. Access the Events Dashboard

From your ITILITE dashboard, navigate to the main menu and click on the Events tab. This will take you to your Events dashboard, where you can see a list of all events you are invited to or organizing.


2. View Event Details

Click on an existing Event Card from the list to open its detailed page. Here, you will find an overview of the event and options to manage it.



4. Manage Participants

The Overview tab displays key information about the event, including its name, description, location, and dates. You can also see your personal invitation status (e.g., Invited, Attending, Not Attending, Not Responded) and RSVP if you haven't already. This tab also provides options to link an existing trip or create a new trip specifically for this event.


Click the Participants tab to view and manage event attendees. As an organizer, you can see the RSVP status of each participant and filter the list by various criteria, such as whether they have linked a trip or their trip booking status. You can also use the Add/Edit Invitees button to invite more people or manage existing invitations. Organizers can send targeted email reminders to participants who have not yet booked their trips or send messages to all participants.



5. Access Management Options

Navigate to the Manage tab for administrative options. Here, organizers can add or remove other ITILITE users as event organizers. This section also provides access to Event Reports, allowing organizers to download detailed reports such as the Event transactions report, RSVP report, and Trip status report. Organizers also have the option to delete the event from this tab.

NOTE: The Events feature is currently managed exclusively on the ITILITE web platform and is not available on the mobile app.
PRO-TIP: All trips linked to an event will still follow your company's existing travel policies and budgets. ITILITE does not support event-specific policies.
PRO-TIP: As an event organizer, you can add other ITILITE users as additional organizers to help manage the event.
PRO-TIP: Executive Assistants can manage travel for their managers by being invited to the event, booking travel on their behalf, and then linking the trip ID to the event.
NOTE: For bulk bookings or special hotel/flight rates, please contact ITILITE Support for concierge assistance.

Verification & FAQs

After creating or updating an event, it will appear in your Events list with the latest details. Actions like sending reminders or downloading reports will typically show a confirmation message or initiate a file download.

Q: Who can create an event?
A: Any employee with an active ITILITE account can create an event if the feature is enabled for your organization.

Q: Can multiple people manage or organize an event?
A: Yes, the event creator is automatically an organizer and can add other ITILITE users as additional organizers.

Q: Which reports does an event organizer get?
A: Organizers can access the Event transactions report, RSVP report, and Trip status report directly from the event's Manage tab.

Q: Will I be able to see who is yet to book a trip and send them reminders?
A: Yes, in the Participants section, organizers can filter attendees by trip booking status and send targeted email reminders.

Q: Why am I unable to RSVP for an event or view the events page on ITILITE’s mobile app?
A: The Events feature is currently available only on the ITILITE web platform (desktop or laptop).
