Hotel Reshop

Hotel Reshop in ITILITE is an AI-powered automated process that continuously monitors hotel rates after a booking is confirmed. If the same room with the same conditions becomes available at a lower price, ITILITE automatically updates the reservation so your company pays less, with no action required from the traveler. Companies can save 3-4% on their hotel spend by opting for hotel reshop.

How it Works for Travelers

When a hotel booking is reshopped, travelers will observe the following:

  • Identical Booking: The reshopped booking keeps the same hotel, room type, occupancy, cancellation policy and inclusions (e.g., breakfast, Wi-Fi if originally included).
  • Email Notification: Travelers receive one clear email notification per successful reshop, with the updated documents attached.
  • Updated Voucher & Itinerary: If the confirmation number changes, the old booking is cancelled without any charges, and a new voucher and itinerary are generated immediately.
  • Dashboard Tag: Reshopped bookings are tagged as such on the user's dashboard, and only the latest booking details are shown to avoid confusion.
  • No Traveler Action: Reshopping is configured at the company level. Travelers do not need to take any action.

Admin View & Configuration

For client admins, this feature offers control and full visibility over reshop savings:

  • Enable/Disable: Admins can enable or disable hotel reshop at any time under `Account Configuration` → `Settings` → `Reshop bookings`. Hotel reshop is controlled independently from flight reshop.
  • Service Fee: ITILITE charges 50% of the total savings achieved as the reshop service fee. Companies only pay a fee when savings are successfully delivered.
  • Billing: Travelers pay the lower rate directly at the hotel. The reshop fee is itemized, invoiced separately, and charged to the company's central card at the time of reshop.
  • Reports: Admins receive monthly savings reports, real-time booking-level reshop transaction entries, and clear visibility into original vs. new prices. Reshop fees appear as separate line items with associated trip IDs in scheduled reports.

Pro-Tips & Guardrails

NOTE: Reshopping only applies to eligible pay-at-hotel bookings that are cancellable. Opaque, restricted, or non-compliant rates are never used.
NOTE: Accessible room rates are explicitly excluded from reshopping to avoid any risk of inconvenience.
NOTE: Reshop happens until the end of the cancellation window or 3 days before check-in, whichever is earlier.
NOTE: Once a reshop is completed for a booking, the service fee is non-refundable, even if the booking is later cancelled.

FAQs

This section addresses common questions about the Hotel Reshop feature.

Q: What exactly is hotel reshop?
A: Hotel reshopping is an AI-powered automated process where ITILITE continuously monitors hotel rates after a booking is confirmed. Your company can save 3-4% on your hotel spend by opting for our hotel reshop feature. If the same room with the same conditions becomes available at a lower price, we automatically update the reservation so your company pays less, without any action required from the traveler.

Q: How do you ensure the reshopped booking is truly identical?
A: We only reshop when all critical attributes remain the same, including:
  • Same hotel
  • Same room type
  • Same occupancy
  • Same cancellation policy
  • Same inclusions (e.g., breakfast, Wi-Fi if originally included)
Our systems validate room parity before any re-booking is finalized.

Q: Why wasn't the lower rate available to book originally?
A: Hotel prices fluctuate dynamically based on:
  • Demand changes
  • Inventory releases
  • Vendor pricing updates
  • Cancellations by other guests
The original booking always reflects the best available rate at the time of booking. Reshopping simply captures price drops that occur after confirmation.

Q: Are you using special or opaque rates to reshop bookings?
A: No. Reshopping only uses eligible, cancellable pay-at-hotel rates that are compliant with vendor and hotel policies. We do not use opaque, restricted, or non-compliant rates.

Q: Will reshopping affect my loyalty points or elite benefits?
A: No. Reshopping is done with the same rate conditions as the original booking.

Q: Is my booking still valid if the confirmation number changes?
A: Yes. If a reshop results in a new confirmation number:
  • The old booking is cancelled without any charges
  • A new, valid booking is created immediately
  • An updated voucher and itinerary are generated
Only the latest booking details are shown on the dashboard to avoid confusion.

Q: What if the hotel doesn't recognize my booking at check-in?
A: Every reshopped booking goes through a reconfirmation process, where we make sure it is a valid booking and confirm this with our technology partner and the hotel itself. This risk is further mitigated with these steps:
  • Reshopping only occurs on cancellable bookings
  • Updated vouchers are issued immediately over email
  • ITILITE support can instantly verify bookings if required

Q: Can reshopping cause double charges or authorization holds?
A: No. Reshopping applies only to pay-at-hotel rate bookings. We do not share new card details, and any authorization behavior follows standard hotel policies.

Q: Is there a possibility that my accessible room will change?
A: No. Accessible room rates are explicitly excluded from reshopping to avoid any risk of inconvenience.

Q: Why is there a reshop service fee?
A: The reshop fee covers:
  • Continuous price monitoring
  • Automated re-booking
  • Risk management
  • Finance reconciliation
  • Customer support
Without reshopping, these savings would not be captured at all.

Q: How is the reshop fee calculated?
A: From the total savings achieved, 50% is charged by ITILITE as the service fee. Your company only pays a fee when savings are successfully delivered.

Q: How and when are reshop fees billed?
A: Reshop fees are:
  • Clearly itemized
  • Invoiced separately for transparency
For pay-at-hotel bookings, travelers pay the lower rate directly, and the reshop fee is invoiced to the company at the time of reshop. The reshop fee will be charged to the company's central card.

Q: Can we audit or verify the savings?
A: Yes. Admins receive:
  • Monthly savings reports
  • Real-time booking-level reshop transaction entries
  • Clear visibility into original vs. new prices
This ensures full auditability and easy reconciliation.

Q: Can we control or disable hotel reshopping?
A: Yes. Admins can:
  • Enable or disable hotel reshopping at any time
  • Control it independently from flight reshopping
The feature is enabled by default for most accounts.

Q: How can I enable or disable Hotel Reshop?
A: As an Admin, navigate to `Account Configuration` → `Settings` → `Reshop bookings` to enable or disable hotel reshop on your company's hotel bookings.

Q: Can travelers opt out?
A: Reshopping is configured at the company level to ensure consistent savings and governance. No traveler action is required.

Q: How will I know if a hotel stay is reshopped?
A: Travelers receive one clear notification through email per successful reshop, with updated documents attached. Reshopped bookings are also tagged as such on the user's dashboard.

Q: What if I already submitted my voucher for visa or expense approval?
A: The updated voucher replaces the old one on the dashboard and can be used as the updated document in place of the earlier one.

Q: How do you ensure no savings opportunities are missed?
A: Our hotel reshop process captures opportunities in more than 90% of cases. In the remaining 10%, to avoid risks like check-in disruptions or rooms selling out, we may let go of the opportunity. In all cases, guest experience is the primary factor we optimize for. On the technical front, our reshop savings system is:
  • Always active for capturing opportunities
  • Continuously monitored
  • Backed by automated alerts and dashboards
  • Supported 24/7 by ITILITE's operational teams

Q: Why should we use reshopping instead of negotiating better rates?
A: Reshopping complements negotiated rates, capturing dynamic market price drops that static contracts may not provide. It delivers incremental savings without any additional effort from your teams.

Q: How will reshop fees appear on my company's scheduled reports?
A: Reshop fees will show up as separate line items with associated trip IDs in your company's scheduled reports (daily/weekly/monthly as configured). The reshop fees will be billed to the company's central card at the time the reshop is done.

Q: How will reshop fees appear on my card statement?
A: The hotel will charge the updated, lower booking amount to your card at the time of check-in/stay. The reshop fees will be billed to your company separately at the time of reshop.

Q: How much can I truly save if I opt for hotel reshop?
A: We monitor all eligible hotel bookings for price drops and rebook when a lower rate is available, without changing the hotel, room type, or cancellation policy. Savings from reshop vary by market, rate type, and booking conditions. What our customers typically see:
  • ~70% of hotel spend is eligible for reshop
  • ~52% of eligible hotel bookings experience a price drop
  • ~10% savings on the booking amount when a reshop occurs
As a result, you can expect almost 3.5% savings on your overall hotel spend.

Q: Till when will the hotel reshop occur?
A: Reshop will happen until the end of the cancellation window or 3 days before check-in, whichever is earlier.

Q: What happens if we used our corporate card for a pay-later hotel booking and manage CCAuth on our own?
A: The hotel reshop is done only up to 3 days before check-in. If the reshop happens after the CCAuth is done and the booking ID changes, you may have to resubmit it.

Q: Will the reshop service fee be refunded if I cancel my booking?
A: Once the reshop is completed for any booking, the service fee paid for it is non-refundable.
