Understanding Payment Methods in ITILITE
You can configure your company's payment methods by logging in with an Admin role on the ITILITE web platform and navigating to Account Configuration > Payment Methods. If you do not see this option, please contact your ITILITE account manager for assistance.
During your company's initial setup, you can choose from the following primary payment types for travel bookings:
- Cards: This includes central company cards or individual user's personal/corporate cards.
- Central Wallet: If your company is set up with a central wallet, all bookings will be made using this wallet.
Configuring Company Central Cards
As an Admin, you can add and manage company central cards directly from the Payment Methods > Company page. These cards will then be available as payment options for your employees during booking.
You can also set one of these central cards as the default payment method for your company. This card will be pre-selected on the booking confirmation page, though users will still have the option to choose other available payment methods if configured.
Managing User Personal and Corporate Cards
You can enable your employees to use their own cards for payments by switching on the toggle on the Payment Methods > Individual page. Once enabled, users can add their personal or company-issued corporate cards and select them during booking confirmation.
Employees can also set one of their own saved cards as a default in their profile. However, if your company has a default central card configured, that central card will take precedence as the pre-selected option during booking.
Payment Policies and Important Considerations
Flights and hotels are paid at the time of booking using the payment method configured by your company. Rental cars are typically paid at the time of car pick-up using a card presented by the traveler, unless specific direct billing arrangements are in place.
If your company operates on a prepaid wallet model for travel, it is essential to maintain a sufficient prepaid balance in your ITILITE Wallet. ITILITE may suspend access to the Travel Platform if the wallet balance is insufficient to cover travel management services or platform fees.
Card Identification at Booking
To help users easily identify card types during booking confirmation, cards are tagged and color-coded:
- Green Tag: Indicates a Company central card.
- Gray Tag: Indicates a user's personal card.
- Blue Tag: Indicates a corporate card issued to the user by your company.
