How ITILITE Cards Streamline Your Travel Payments

ITILITE provides a robust system for managing travel payments, allowing your company to choose between using various card types or a company Wallet. When cards are enabled, you gain the flexibility to use company-provided central cards, your own personal cards, or corporate cards issued directly to you. This ensures that your travel bookings align perfectly with your company's payment preferences and policies.

Admin Setup: Enabling Card Payments

While this article focuses on the traveler's perspective, it's helpful to understand how your company's payment methods are configured. ITILITE Admins play a key role in setting up payment options, ensuring that the available methods meet your company's specific needs. They manage these settings in the Account Configuration → Payment Methods section of the ITILITE web platform.

Admins can add company central cards, which are then available to all employees for booking. They also have the option to enable or disable the use of individual employee cards, giving you the flexibility to add your own cards if permitted. Additionally, an Admin can designate a specific company central card as the default, which will be pre-selected during booking for convenience.

Managing Your Personal and Corporate Cards

As a traveler, you can easily manage your own payment cards within ITILITE to streamline your booking process. Navigate to Profile → My Cards to add, view, and organize your cards. This section allows you to keep all your relevant payment methods in one convenient place.

When adding a new card, you can specify its type:

  • Personal: This designates the card as your own, for which you are personally responsible.
  • Corporate: This option is for company-issued cards that have been assigned directly to you.

You can also set one of your saved cards as your default card. This card will be automatically selected during the booking confirmation process, making checkout even faster. However, if your company has a default central card configured by an Admin, that central card will take precedence over your individual default card during booking.

Selecting Your Card During Booking

When you're ready to finalize your travel plans, ITILITE makes it simple to choose your preferred payment method. On the booking confirmation page, just before you complete your reservation, you'll see a clear list of all available payment options. Here, you can select the specific card you wish to use for that particular booking.

If your company has enabled a default central card, it will be pre-selected for you, but you always have the flexibility to choose another allowed card from the list. It's important to note that if your company is configured to use a central Wallet for travel, your bookings will exclusively be processed through the company Wallet.

Understanding Card Types and Virtual Cards

ITILITE helps you quickly identify the type of card being used for your booking through clear visual tags. During the checkout process, you'll notice color-coded tags next to each card option:

  • Green Tag: Indicates a Company central card, managed by your organization.
  • Gray Tag: Represents your personal card, which you have added to your profile.
  • Blue Tag: Signifies a Corporate card, issued to you by your company.

For certain hotel bookings, you might encounter the "Pay at hotel via company card" option, which often utilizes a one-time virtual card. This is a temporary, secure card generated specifically for that hotel reservation. You'll see "pay at hotel" and "company paid" tags in the search results, and a "One time virtual card" tag on your confirmation and summary screens. Your booking voucher will also include the virtual card's last 4 digits and payment method, providing all the details you need for check-in.

Important Payment Information

Understanding when and how payments are processed helps you manage your travel expenses effectively.

  • Charging Timing: Flights and hotels are typically paid at the time of booking using the payment method selected by your company. For rental cars, payment is usually made at the time of car pickup, using a card you present directly to the rental agency.
  • Travel Booking Fee: Please note that a non-refundable travel booking fee is deducted at the time of booking for all reservations.
  • International Card Charges: If your company's payment method is set to "Traveler card" or "Company Central Card," an additional charge of up to 2% of the booking amount may apply if the payment is made using a card that is not USD-denominated or not issued in the US.

Pro-Tips & Guardrails

NOTE: The availability of specific card payment options, including the ability to add your own cards or use company central cards, is determined by your company's ITILITE Admin. If you don't see the expected options, it's likely due to your company's configured payment policies.
PRO-TIP: Save your frequently used personal or corporate cards in Profile → My Cards and set one as your default. This will significantly speed up your booking process, especially for routine travel. Remember that a company's default central card will take precedence if one is configured.

Verification & FAQs

After successfully selecting your card and confirming your booking, you will receive an immediate booking confirmation on screen, followed by a detailed email to your registered address. Your trip details will also be updated in your ITILITE account, reflecting the chosen payment method and booking status.

Q: Why can't I see an option to pay with a card for my travel booking?
A: The payment options available to you are determined by your company's ITILITE Admin. If you don't see card payment options, it's likely that your company has configured the system to use a central Wallet or other specific payment methods for travel bookings.

Q: What is the difference between a 'Personal' and a 'Corporate' card in ITILITE?
A: A 'Personal' card is your own private card that you add to your profile for bookings, subject to company policy. A 'Corporate' card is a company-issued card that has been assigned to you specifically for business expenses.

Q: Can I set one of my own cards as the default for bookings?
A: Yes, you can set one of your saved cards as your default in Profile → My Cards. However, if your company has also set a default central card, that company central card will take precedence during the booking process.

Q: What does "One time virtual card" mean for hotel bookings?
A: A "One time virtual card" is a temporary, secure card generated by ITILITE for specific hotel bookings that are company-paid but allow you to "pay at hotel." This ensures the company covers the cost while providing you with the necessary payment details for check-in.

Q: Are there any additional charges when using cards for ITILITE bookings?
A: Yes, a non-refundable travel booking fee is applied to all reservations. Additionally, if your company uses "Traveler card" or "Company Central Card" payment methods, a charge of up to 2% may apply for payments made with non-USD or non-US issued cards.
